Form Properties

I want to define Form Properties

Each Form has a range of Properties, which will control how this Form will be displayed in the Web Application, and how a user can interact with this Form.

Accessing the Form Properties

In the Form Designer, select the Properties button at the bottom of the screen.

Once you click on the button, the system will display the following property options:

Form Properties

For the task of ...

I need to ...

Changing the Name of the current Form

Update the Form Name

Displaying the individual Pages as Tabs, rather than a list of Pages

Tick the Form Option Display as tab form

Allowing Users to create a Duplicate of the current record

Tick the Form Option Allow duplicate records

NOTE:
Only the content of the those pages which are visible on CREATE of a record will be duplicated.

Controlling in which context a User can create a new Record.

  • If a User should be able to create a new record while in a List View (for example "My Actions), then Tick the Option Allow create from Views.
  • If a User should only be able to create a new record from within another Form (e.g. create a new Action from within an Incident Record), then leave this box empty.

Triggering Rules on subform records.

If Rules have been defined on any of the subform components e.g. "Actions"), then you can control if these rules should be triggered when the component is accessed as a subform.

When the option is

  • ticked: Rules will be triggered an subform records, as well as when a record is created/edited as a main process.
  • un-ticked: Rules will only be triggered when a record is modified as a main process, but not in the context of a subform record.

Enabling Workflows

When Workflow is Enabled, the Workflow button will be available, which will open the Workflow Designer screen.

With 'Workflow’ you can refine a workflow by defining multiple 'Workflow Statuses', and define for each Status the conditions under which any given record will be set to that Status The system will then automatically manage the transition of a record’s Status according to the defined rules.

IMPORTANT:

  • You need to complete the Workflow configuration by defining the Statuses and Transition Rules.
  • As these Workflow Statuses supersede the old "Set Status" form actions, it is also necessary to delete all "Set Status" Actions on any Workflow-enabled Form.

Showing Workflow Indicator

To also display a visual indicator of the current workflow status for a record, you need to tick this flag in addition to the 'Enable Workflow' flag.

The Workflow Indicator will be displayed in the web application at the top of the data entry form for all users.

Marking a form as a 'mobile' form for Roam.

If you are using our mobile solution Roam, you can determine which forms will be available on a mobile device.

To make a form available for Roam, tick the Form Option Is mobile Form.

Render ‘unwrapped’ (no menu, topbar or close button)

Render ‘unwrapped’ (no menu, topbar or close button).

Ticking this option will render the record without a menu, top bar or close button. This is useful when setting up Passthrough URLs to give external contractors/visitors access to a form for a specific task without confusing them with the various menu options.

Identifying if, and where, this current form is being used as a subform or grid.

Scroll through the information used in the section "Used as a subform of grid in ...".

Controlling access to a Form.

Define the Form Security as necessary. You need to set the

  • Default Access:
    No Roles have access
    All Roles have access

which you can refine by adding Exceptions:

  • Except Roles:
Select all the Roles which are excepted from the Default Access.

NOTE:
Having access to a Form is a prerequisite to gain access to Pages.

  • Forms which are used in Roam will be listed on the mobile device with their Form Name.
