Calendar Designer

To create, or modify Calendars, you will have to use the Calendar Designer, which you can access:

  • From the menu, select Designer Menu path separator Dashboards Menu path separator Calendar Designer
  • You will see a list of existing calendars (if available).

Create a New Calendar:

  • Select NEW to create a new calendar.
  • Enter a Calendar Name (mandatory) e.g. "Compliance Calendar".

Add Calendar Rows (Components)

Each row represents a set of data to be displayed on the calendar.

  • Click Add Row to insert a new row.
  • For each row, configure the following fields:
    • Key Description: Enter a brief description for the row e.g. "My Team's Overdue Actions"
  • Component: Select the component the calendar should display the data from e.g. "Action".
  • Summary Field: Select the text field to show as the calendar event summary e.g. "Action Summary".
  • Date Field: Select the date field that determines when the calendar event appears e.g. "Due Date" for Action.
  • Auto Number Field: If the component uses unique identifiers, select the relevant field e.g. "Action Number".
  • Relationship Picker: (Optional), select related data (e.g., Responsible Person or Department or Assigned To) to display additional context.
  • Filter Picker: Apply component filters to define the record that need to be displayed in the calendar e.g. "My Team's Overdue Actions".
  • Recurrence Filter Picker: For Components where Recurrence is enabled, a Recurrence Filter (created in Component Filter) must be selected. This ensures that the system displays only the relevant recurrence placeholder records for the user.

    Example
    If a Calendar component is configured to display My Team’s Open Actions, the filter will be typically configured to show only Open Actions assigned to the logged-in user or their direct reports. However, recurrence placeholder records rely on the status of the Recurrence Master record. When the master record gets closed off, the placeholders will no longer be displayed until the next record in the series is generated.
    To ensure these placeholders appear correctly, create a separate component filter (to be selected in the Recurrence Filter picker) such as My Team’s Actions that shows actions for the logged in-user or their direct reports without filtering by status.
    Additionally, if a component (for example, Actions) is configured to appear in multiple calendars under different conditions, the system may display the same placeholder records across those calendars if a Recurrence Filter is not selected. Creating a Recurrence Filter ensures that users only see the placeholder records that are relevant to them.

  • Color Picker: Choose a color for the row. You can use the color picker or enter a hex code.

Mandatory fields are marked with an asterisk (*). You cannot save a row unless all required fields are filled.

  • Summary Field: Allows users to traverse relationships for the selected component and select a free text field from the related component.
  • Date Field: Allows users to traverse relationships for the selected component and select a date field from the related component.

Tips

  • Filter Picker: Use component filter to filter and display which records appear to improve performance and relevance.
  • Color Picker: Use consistent colors for similar types of events for easy recognition. E.g. "Overdue Actions" and "Overdue Incident Investigation" can both be "Red"
  • Relationship Picker: Add relationships to provide more context especially when setting up team calendars e.g. use the Relationship as [Assigned To] for "My Team's Overdue Actions".

Save Your Calendar

  • Click the Save button.
  • If any required fields are missing, the system will prompt you to complete them.

Add the Calendar to a Dashboard

  • Open Dashboard Designer. Create a new dashboard or open an existing dashboard to embed the calendar widget.
  • Drag the Calendar widget from the left panel onto your dashboard.
  • The "Calendar" dropdown displays the list of configured calendars. Select one from the list to embed it in the dashboard .
  • You can either specify the height in pixels or simply resize the calendar widget, and the system will automatically apply the set height.
  • Save the dashboard and publish the changes.

Delete the Calendar

  • To remove a calendar, go to the list view for Calendar Designer and use the Delete button.

    Note: If the calendar is embedded in a dashboard, you will not be able to delete it.
