SDS Bulk Processing

SDS Bulk Processing allows you to upload a CSV file containing multiple chemicals and automatically pull their SDS information from SDS Manager into the Chemical Register.

When the SDS Manager feature flag is activated, a new workspace menu item "SDS Bulk Processing" becomes available. Depending on your configuration, this menu will appear either under:

Safety Chemical Management Administration, or
Directly in the workspace menu if your menu structure differs from the standard configuration.

The new SDS Bulk Processing admin view can be repositioned within the menu structure as needed.

Policy Role:

Users will need to be assigned the security role Policy Role - SDS Bulk Processing to use the SDS Bulk Processing feature.

How it works

Download the CSV template from the SDS Bulk Processing screen.
You will need to enter in the Product Name, Manufacturer/Supplier information, CAS Number, Product Code and Language in the defined order of the CSV template. The SDS Manager will check the combination of [Product Name], [CAS Number], [Manufacturer], [Language] to match the SDS records against its database.
Upload the CSV file and select Run to start the bulk processing job.

Once submitted, the system will process the SDS records in the background. This background job will:

Search, match and import SDS data into Chemical Management module.
Trigger applicable analytic rules.

When the job is complete:

The user will receive an email notification containing the processing results and associated log files.
If the user does not have an email address associated with their profile, or if they do not receive the email, they can instead download the log files directly from the SDS Bulk Processing screen.

The default directory location of the log files will be available in Global Settings SDS Bulk Processing SDS Bulk Processing. This can be changed if necessary.
The logs available on the screen include all historical logs generated from previous SDS Bulk Processing runs completed in recent months.
When processing a large volume of SDS records, we recommend breaking your data into multiple smaller CSV files and uploading in batches.

Understanding the Detail Log

Detail log file will show one of three statuses: Success, Warning, or Error. The SDS Bulk Processing will look at the combination of [Product Name], [CAS Number], [Manufacturer], [Language].

Success

Indicates that the system successfully found and imported the SDS.

Chemical Register Record Created Successfully
Record successfully created
"Multiple matches found with different revision dates. A record has been created"
Multiple matches for SDS retrieved and Chemical Register created using the latest revision date.

Warning

These indicate something needs review:

"Product not found in SDS Manager"
No SDS matches the provided details.
"Multiple matching records found in SDS Manager. Verify that all necessary columns are included and try again"
Several SDS records match, update your CSV to be more specific.
"A Chemical Register record already exists"
Chemical Register record with this combination already exists.

Error

These require might require additional review from the Customer Support before retrying:

Error searching SDS Manager (includes SDS Manager error code)
Error parsing revision date
Failed to create Chemical Register Record
